TENTS AND DISPLAYS: Artists must supply all materials needed for their display. We request that all exhibitors use a well-built or commercial grade tent, EZ Up or better. All displays must be designed to fit in the purchased booth space.
NO spikes are allowed for the majority of the park. Vendors will pay 100% percent of damages assessed by the City of Whitefish. Use heavy weights or water weights to secure your tent. Be prepared for sunshine, rain, and possible gusty winds.
If you with to use spikes you must request the northeast corner of the park and specify use of spikes.
BOOTH REQUESTS: The Whitefish Parks Department has completed the renovation of Depot Park. The park is now ready for visitors to relax and enjoy. A new map that meets social distancing guidelines will be available Booth/Location requests will be considered in the order they are received, with select artists (artists who have a long history with the Whitefish Arts Festival) spaces to be determined first.
BOOTH SETUP: Begins Thursday, June 30th, at 10a.m.-8 p.m. (Food Vendors will be arranged by set up with times from 4pm thru 10pm) and continues Friday, July 1st, from 7:00 a.m.-9:30 a.m. Late arrival Thursday evening (after Columbia Falls Community Market) available with advanced communication.
SECURITY: Professional overnight security will be provided Thursday, Friday, and Saturday nights. The Whitefish Arts Festival and/or Whitefish Christian Academy are not responsible for any theft, loss, or damage to artwork or booths at the show.
PETS:
The City Code for no dogs at events is
“No dogs are permitted in any public park within the city during any organized athletic or special event, except for service animals and within public dog parks. Event organizers are required to notify attendees that dogs are not permitted in both promotional materials as well as through signage during the event.”
If you have a service dog that you will be bringing the WAF, please forward me appropriate paperwork after acceptance and prior to placement.
PARKING:
Remember, we must save room for our customers!
Artists agree not to park within the restricted parking areas of the festival without written approval from festival organizers. Violators will not be invited back to the Whitefish Arts Festival.
RESORT TAX: The resort tax is 3% and applies to many art and food sales. Visit https://www.cityofwhitefish.org/336/Resort-Tax for more details.
WASTE/TRASH: Whitefish Arts Festival makes an effort to lessen our footprint. Food service items must be biodegradable unless specific accomodations are make with director. Aluminum can recycling will be available.
MISCELLANEOUS: The Artisan Food category applies to exhibitors who offer specialty food offerings like bakery items, jams, and artisan specialties. No in-booth preparation allowed other than samples. Current MT Food License required with booth and product photos.

CANCELLATION POLICY

Booth Fees:
Cancellations are difficult and we are sure that no one intentionally plans to cancel after entering into an agreement for any art festival. However, on our end, the closer we get to the event date, the more time and planning we have invested, and the more difficult it becomes for us to fill your booth space with quality artists or food vendors. In many cases the individuals who could have filled your booth space are no longer available with late notice. For that reason, we request that you respect the following dates with regards to cancellation:

$200.00 deduction from your booth fees
April 30th thru May 30th
Partial refunds considered on a case by case basis based on ability to fill space with a quality artist.
June 1st thru show dates:
No cancellation refunds. If you need to cancel, please provide as much notice as possible in consideration to the artists around you whose booth set up may be impacted.
LODGING
For hotel, campsite, or RV locations please contact the Whitefish Chamber of Commerce at www.whitefishchamber.org or call 406-862-3501 and ask that a visitor’s packet be mailed to you.
Once accepted, you will receive contact information for one of our artists that allows camping/ RV parking on her property for a small donation.
Make reservations early!
No camping on city streets or empty parking lots. You will be towed!
